Position Summary:

The Senior Analyst role on our Workplace Solutions team is responsible for the day-to-day delivery of Workplace Solutions services, facility and vendor maintenance management, technology support, and coordination. The services scope of this role includes primarily Facilities & Workplace Management (both soft and hard services as well as service providers).

Additional duties include special projects within Workplace Solutions.

Responsibilities:

  • Coordinate day to day operations with customer service and maintenance vendors

  • Coordinate with Property Management for vendor access, loading dock use, engineering support, cleaning contracts and after-hours access

  • Maintain a high level of responsibility for standards of customer service, appearance and employee experience on the campus

  • Oversee employee-facing customer service and personnel representing Workplace Solutions

  • Be accountable for day-to-day service delivery in line with established service levels

  • Resolve performance and quality issues, escalating to senior levels where required, ensuring timely resolution and alignment to the Workplace strategy

  • Support local facilities services for large events and employee customer service as needed

  • Manage facility conference room meeting and event logistics, moving, changing and adjusting to meet business needs through Microsoft outlook, working closely with stakeholders to accommodate space needs escalated by Customer Service

  • Management of customer service ticketing/resolution performed by the on site team

  • Support and use of ticketing software, floor plan programming, reservation system support and technology related to this category

  • Support of Nestlé site specific safety requirements

  • Manage and document Nestlé safety metrics and required postings.

  • Coordinate with vendors for work requests and site access

  • Coordinate with building maintenance teams for repairs, updates and with the Design and Construction Team on small projects as needed

  • Full ownership of preventative maintenance and external vendor contracts, invoices/billing, scheduling, on-site oversight and contract compliance

  • Participating in Workplace Solutions team meetings and events with team members from all office locations

  • Participate in meetings representing Workplace Solutions with key stakeholders and department representatives for the campus

  • Support campus conference room technology requests and planning directly with the audio-visual project manager’s needs

  • Ability to be available and respond at off hours to emergency situations or for vendor access as needed

Requirements:

  • Bachelor’s degree or equivalent experience defined as at least 5-7 years of relevant, professional level working experience in the same or similar field

  • 5 years or more experience in delivering Facilities Management and/or other critical service delivery operations

  • Experience in meeting and event planning management

  • Experience in management of third-party service providers preferred

  • Experience in management of facility preventative maintenance services preferred

Skills:

  • Demonstrate strong verbal and written communication skills

  • Ability to problem solve, effectively prioritize, and drive processes

  • Strong interpersonal skills with a focus on teamwork and customer service

  • Ability to work on multiple projects simultaneously, prioritize, follow-up and bring projects to conclusion

  • Proficient in Outlook, Outlook Calendar Management, PowerPoint, Word and Excel

  • Ability to create professional presentations

  • Ability to read architectural/engineering drawings and written specifications

  • Desire to create relationships and built trust with employees

  • Ability to adapt to shifting priorities

  • Facility Operations software, Archibus, experience is preferred, not required
