Nestle Factory Administrative Communications Assistant in Fort Smith, Arkansas

POSITION SUMMARY: Provides high-level administrative and social media support to Fort Smith Leadership Team in all day-to-day operations in a fast-paced, team-oriented environment. In this role, they have frequent contact with site managers, supervisors, and other support groups as well as telephone contact with vendors and non-Ft Smith company representatives. They will also have communication with other Nestle factories and corporate offices.

PRIMARY RESPONSIBILITIES:

Results Focus

• Typing, creating, processing, and formatting letters, reports, presentations, and other materials using MS Office.

• Planning, coordinating, and scheduling appointments, and global travel arrangements.

• Organizing and hosting meetings globally, to include accommodations and arrangements for internal, external, domestic, and international guests.

• Managing electronic calendar(s).

• Processing expense reports and invoices.

• Maintaining a well-organized filing system, ensuring critical and/or confidential data is appropriately managed and stored.

• Handling periodic projects that are both routine and non-routine in nature.

• Support departmental goals to ensure completion of ongoing projects and special assignments.

• Manage mail room, stock room, and office machine repair & maintenance, order supplies as necessary. May require local travel, including daily mail run.

• Participate in facility safety program.

• Work to improve the overall efficiency of Plant Manager’s office. Communication:

• Lead and organize communications efforts across the facility utilizing all resources available, to include social media platforms. Collaborate with corporate communications as needed to support general communications functions and employee engagement programs.

REQUIREMENTS AND MINIMUM EDUCATION LEVEL:

• High School Diploma or GED is required, and advanced education will contribute to the success of the incumbent.

• Employee must support and comply with all Nestlé programs and policies, including affirmative action goals and commitments, SHE strategies, corporate citizenship initiatives, GMP’s and Safety Policies to ensure employee safety and product quality. Employee must meet all requirements related to NQMS and ISO standards for Quality, Food Safety, Environmental Compliance and Occupational Health and Safety.

EXPERIENCE:

• 5 years administrative experience in a factory highly preferred, with 2 years at the senior level.

Experience driving social media initiatives in a factory or manufacturing environment highly preferred.

SKILLS:

• Superior verbal and written communication and planning skills are required.

• Capable of coordinating multiple tasks, understanding, and setting priorities, working under minimal supervision, and establishing credible working relationships with peers and senior management

• Manage projects and deliverables independently from start to finish

• Multi-task efficiently and effectively

• Effectively interact with all levels of management both domestically and internationally

• Demonstrate utmost discretion in dealing with confidential information

High proficiency in MS Office, Outlook and social media platforms is required.
